Schedule a work order with the Schedule Wizard
Set the dates and times, assign employees, give anyone a custom time window, resolve conflicts, then save as a draft or assign the schedule to send notifications and calendar invites.

Steps
- 1From the Projects view, select the work order and click Schedule to open the Schedule Wizard.
- 2Step 1: set the start and end dates and times for the work order.
- 3Step 2: browse available employees in the left panel and click to assign them.
- 4Optionally click the edit icon beside an employee to set a custom time window; the employee gets a Custom Time badge.
- 5Review any conflicts flagged in the staging panel and choose a resolution: remove, reassign, acknowledge, or adjust times.
- 6For a time adjustment, choose Accept both but adjust times, edit both assignments in the dual editor, and save once no overlap remains.
- 7Save as Draft to hold the schedule without notifying anyone, or Assign Schedule to finalize, notify the crew and send calendar invites.
Open the wizard
From the Projects view, select the work order and click Schedule. The work order needs to be in Ready status for scheduling to be available.
Dates first, people second
Step 1 sets the work order's start and end dates and times. Those become the default window for every employee you assign, so set them before adding people.
In Step 2 you browse available employees in the left panel and click to assign them. Each assignee inherits the work order window unless you override it: click the edit (pencil) icon next to an employee's time display, adjust their dates and times, and save — that employee then shows a Custom Time badge.
Conflicts are detected for you
WorkSkedge flags conflicts automatically and shows the detail in the staging panel. You can remove the assignment, reassign it, acknowledge the conflict, or adjust times. Choosing Accept both but adjust times opens a dual editor showing both assignments so you can edit each window; the system validates that the two no longer overlap before letting you save.
Draft or assigned
- Save as Draft — stores the schedule with status
draftand sends no notifications. Use this while you are still working it out. - Assign Schedule — finalizes it with status
assigned, sends notifications and issues calendar invites.
To change a schedule later, open the scheduled work order, click Edit Schedule, adjust assignments or times, resolve any new conflicts, and save or finalize.
Frequently asked questions
What is the difference between Save as Draft and Assign Schedule?
Save as Draft keeps the schedule in draft status and sends no notifications. Assign Schedule sets the status to assigned, notifies the assigned employees and sends calendar invites.
Can two employees on the same work order work different hours?
Yes. Assignees inherit the work order window by default, but you can edit any assignee's dates and times individually; they are then marked with a Custom Time badge.
What happens when the system finds a scheduling conflict?
The conflict appears in the staging panel with its detail, and you choose how to resolve it: remove the assignment, reassign it, acknowledge the conflict, or adjust times for both assignments until they no longer overlap.
How do I change an existing schedule?
Open the scheduled work order, click Edit Schedule, change the assignments, dates or times, resolve any new conflicts, then save or finalize.
