Raise POs, receive materials, and handle vendor bills and credits.
How do I create a purchase order?
Open Finances → Purchase Orders, click Create PO, choose the PO type, pick the vendor and the job it belongs to, add line items, then save it as a draft or submit it for approval.
What do the purchase order statuses mean?
A PO moves Draft → Submitted → Approved → Received → Billed, with Rejected, Partially Received, Partially Billed and Cancelled along the way. POs under your auto-approval threshold are approved the moment they are submitted.
How do I receive and bill a purchase order?
Use Mark Received once the goods arrive, then record the vendor invoice as a bill against the PO. A PO can carry several bills, and it flips to Billed once they total 99% of the PO amount.
How do I reimburse an employee who paid out of pocket?
Raise a purchase order with Paid By set to Reimbursement, attach the receipt and pick the employee. On approval WorkSkedge sets the PO to Billed automatically, so all that is left is recording the payment back to the employee.
How do I add and manage vendors?
Go to Resources → Vendors and click Add Vendor. Name, trade/specialty, vendor type and primary contact are the essentials. New vendors start Pending and must be Approved before they can be assigned to work orders.
How do vendor credits work?
Create a credit from Finances → Vendor Credits, or straight from a purchase order's Credits tab. Open credits are pulled onto invoices as negative line items and flip to Applied automatically.
