# How do I link a physical asset to an equipment rate?

## Steps

1. Open Price Book and switch to the Equipment tab.
2. Open the equipment resource in the Product Detail Drawer.
3. Click Link Asset.
4. Search for and select one or more assets, then confirm.
5. Confirm each machine now appears under Registered Assets.

Linking bridges the two halves of equipment tracking. The Price Book resource holds the rate; the asset holds the serial number and meter. Once linked, checking the asset in from a work order can create a usage record priced at that resource's rate.

## Before you start

The equipment resource must already exist in the Price Book and be of type **Equipment**. The physical asset must already be registered in the Equipment Ledger — assets are created through the Equipment Ledger, typically by the app you use to manage your fleet.

## Steps

1. Open **Price Book** and switch to the **Equipment** tab.
2. Open the equipment resource in the **Product Detail Drawer** (or use the inline action in the product table).
3. Click **Link Asset**. A searchable multi-select dialog opens.
4. Select one or more assets and confirm.
5. Check that each machine now appears under **Registered Assets** in the drawer.

To unlink, click **Unlink** next to the asset in Registered Assets and confirm. The asset itself is not deleted — only the link is removed.

## Notes and limits

- The Link Asset dialog only lists assets that are not yet linked to any product. If a machine is missing from the list, it is already linked somewhere else.
- An asset can be linked to at most one resource at a time.
- Deleting the Price Book resource does not delete the asset; the asset is preserved with no product link.
- Unlinking does not remove past usage records or the checkout history.

### Why is an asset missing from the Link Asset dialog?

The dialog only shows assets that are not linked to any product yet. Unlink it from its current resource first, then it becomes selectable.

### Does unlinking delete the asset?

No. The confirmation says the asset will not be deleted — only the link is cleared, and the asset can be re-linked to another resource later.

### What happens if I delete the Price Book resource?

The asset record is preserved and simply ends up with no product link, so it stops auto-billing until you link it again.

### Can two excavators share one rate?

Yes, and that is the normal setup. Many assets can be linked to a single equipment resource; each keeps its own serial number and meter.

### Do I need the link to check equipment out?

No. Checkout and check-in work without it. The link is what allows a check-in to create a priced usage record.
